As busy professionals and small business owners, keeping track of multiple tasks, projects, and to-do lists is hard enough. You also have to try to prioritise which task to do first, keep track of deadlines and meetings, and make sure all of this flows nicely in a day. Often caught juggling a work calendar, personal calendar or Google calendar, all of which are competing for your time. 

Being so busy, I often think I could use a personal assistant to help prioritise my important tasks, but as a small business owner, I could not commit to hiring someone to help me with my busy schedule. But what if there was a way to combine my calendar of personal projects and more complex work projects in one app? 

That's why I've been using the Motion AI Calendar app for a few months now. It's improved my productivity through the roof. 

Now I know what you are thinking. Another one of those fancy AI tools that will be a fad. But no Motion is more than that, and having used it myself for a few months now, I can tell you it has saved me so much time. 

Over the years, I've tried several different tools and productivity apps, and normally, after a couple of weeks, I forget I even downloaded the app. 

Motion has helped me schedule tasks and keep on top of urgent tasks. 

What is the Motion AI Calendar App? 

Motion is no ordinary calendar app; it's a game-changing program that combines the power of project management with intelligent scheduling. By integrating all your work and personal calendars into one convenient platform, you'll experience a new efficiency level.

Motion is an AI executive assistant. For me, it is the best productivity and time management tool you can get in 2024. Think of Motion as your employee of the month from January to December, but who also happens to be an AI assistant and Project Manager rolled into one. 

I'm sure you'll agree when you try Motion; it is the perfect productivity tool for busy professionals. It is more than just another calendar mobile app. Motion is a project management tool that integrates multiple calendars to manage your time. It allows you to combine work and personal calendars. 

You add a new task or event in your motion calendar, give it a name, start date, a to-do by date, how long you think it will take, the priority of the task, if it's to be done in work hours or personal hours, and click auto schedule. 

The artificial intelligence of Motion will then decide when is the best time to get the task done. It really is that simple, and it will help you stay on task and within the deadlines. 

Don't forget to add access to your personal calendar to make sure you never miss an important family event. 

​Tasks Past Due in Motion AI App

One of the reasons I rate Motion highly when it comes to productivity tools is that it will alert me if I'm not going to get a task done by the scheduled deadline. It'll work out that I don't have enough time to get the tasks on my to-do list done and alert me as a task is past due.

Click on the resolve button, and you can either select to complete the task (I often forget to click this), Do ASAP, Extend the Deadline or Ignore the Warning. You can also click on the pencil icon and open up more details for the task. It will also tell you all the activity on that task, including how many times you have extended the deadline (sorry, Motion, but I'm doing it now, see a screenshot of me extending the deadline from October 2023 to April 2024). haha. Hey, I proved this app works for tracking. 

But while extending this task multiple times might look bad, it does mean that it has stayed on my todo list and has meant I've had other tasks to prioritise. 

How can you Access The Motion Calendar? 

Motion makes it really easy to access the app from any of your chosen devices. Here is a list of the ones I commonly use daily.

The phone app is a great way to quickly add a task that you don't want to forget about but also don't have time to fully schedule. Just add it to the to-do list, and next time you are in the main app, you will be able to add the full details and let the AI do its thing.

What Calendars Can Motion connect to?

What is great about using Motion as your main calendar is that it will combine any of the following into one easy-to-view calendar. 

- Outlook Calendars 

- Apple Calendars 

- Google Calendars 

So, if you have a personal Google calendar and want to combine it with a work Outlook calendar, you can do exactly that. Add multiple calendars and they will all show on one combined Motion calendar. 

Remember, you don't have to try to do all this on your phone, as there is a web app, a downloadable desktop version, or you can use it on an iPad App.  

Is Motion Just a Fancy Calendar? 

Aside from calendar management, one of the more unique features of Motion is the meeting scheduler. That's right, Motion is more than just a calendar app. It's an assistant that can also help you schedule meetings. 

I used to use Calendly to book client meetings, but Motion has this feature built-in. This means that when a client books one of my slots, it will immediately go into my calendar.

No more struggling to find out when everyone or your client is available for a meeting. You can send a simple link to a client and allow them to select a time that works for them (and you). 

Under the booking tab, you can create a unique booking link just for that next important meeting. You can also set specific office hours for selected days and times. 

let's say you want to limit bookable meetings to Tuesday and Thursday afternoons between 2 p.m. and 4 p.m. With Motion, you can. When creating the link, select or create your required schedule from the drop-down. Alternatively, you can create a one-time link and drag options from your calendar.  Motion is that easy to use. 

If nobody books a session during the office hours timeslots, Motion will simply fill your calendar with times from your to-do list. Don't worry; the client will not have access to your calendar; Motion will email the client, who will then receive a Booking link for the meeting with the available time slots.

Motion makes it so easy. No longer will you need to gather timeslots between multiple team members or send over availability to a client, only to have someone else come in and book a slot before they have been able to reply.   

This alone, I think, is one of the best features of Motion and has saved me a lot of back and forth with clients. I've even been tempted to use it to book in date nights with my other half, but I thought that might be a step too far. haha. 

Using Motion App for Project Management 

Motion is also one of the easiest pieces of project management software I have used in a long time. And yes, Motion will use AI to keep you on track and prioritise tasks that need to be done. 

​Select the Projects tab and add a project. 

Once you have created your project, you'll need to add some tasks, as you add the tasks to your project, you will notice there is also the option to add any blockers. Adding these blockers will help Motion alert you if you need to plant and grow the wheat before you can run through a field of wheat. I mean, imagine arriving at a field ready to run through it and someone forgot to plant it in the first place. 

On the Projects tab of Motion, you can switch between List View and Kanban View. Personally, I don't think you can beat a Kanban board, as it helps move tasks along from a visual point of view. 

Working With a Team in Motion

I use motion on my own, but in researching how other people are using motion, I have found people switching their team over from Asana to Motion, as there are more robust tools in Motion and also assigning of tasks so that tasks appear on the team members calendar is pure genius.

So if you are looking for a team project management tool that is also affordable, I think you will be best of trying Motion and build a more collaborative team and work environment.
